Sunscape Board of Directors Meeting
December 12, 2006


The meeting was called to order by President Gene Curry at 9:00 a.m.

Pledge of Allegiance

Opening Prayer: G H. Sublett

Roll Call by Secretary Billie Hering: Present were Herb Gansky, Don Hansen, Mel Glaze, Gene Curry, Gene Wallace, Mary Anne Brunner, Billie Hering, and Manager Harriet Deutschman.

Approval of Minutes: Don Hansen moved and Herb Gansky seconded that the minutes of the November 14, 2006 Meeting be approved with the following correction, price of propane will be $2.25 not $2.15. Carried.

Treasurer's Report: Mary Anne Brunner reported that there currently is $7182.71 in the checking account and $26,084.17 in the operation account with one more month to go. Money left in the operation account at the close of the year will be transferred to the Capital Improvement Account. The Sewer Escrow Account currently has $21,216.00 in it. Don Hansen moved and Herb Gansky seconded that the treasurer's report be accepted. Carried.

Standing Committee Reports:

Architectural Committee - Ken Macomber was absent so there was no report.

Finance Committee - Kathy Gordon reported that the Finance Committee has presented the 2007 budget to the board. The assessments have gone up, mostly because of unknown increases in sewer costs, property taxes, attorney costs, electricity (this increased 18% in 2006), etc. Gene Curry also stated that we have added $25.00 to put into the Reserve Fund. Curtis Bos asked how large the increase will be; the dues and assessments will be raised from $575.00 to $900.00. Don Hansen moved and Mel Glaze seconded that the Finance Committee report be accepted. Carried.

Property Committee - Morrie Lawler reported that the quilters have purchased two more sewing tables. The Medical Committee has ordered the new pump for approximately $571.00. The board has purchased a new compressor. Both these were emergency purchases. All donations must be approved by the Property Committee and the board. A lengthy discussion followed regarding the disposition of a meat slicer. Morrie urged everyone to please follow the procedures for purchasing, tracking, inventorying and disposing of park property. Don Hanson moved and Mel Glaze seconded that the Property Committee report be accepted. Carried.

Safety Committee - Ray Fassbender reported that we still need a new member for the committee. Ray reiterated the request that we all use lights when out and about at night. Don Hansen moved and Mel Glaze seconded that the Safety Committee report be accepted. Carried.

Medical Committee - Mary Ann Fender said the Medical Committee had two calls in November. The defibrillator has been updated with the most current program and medical response team actually got to study the readout of the last emergency at their meeting. Don Hansen moved and Herb Gansky seconded that the Medical Committee report be accepted. Carried.

Nominating Committee - G.H. Sublett reported that he, Loli Norman, and Gene Nieuwenhuis are hard at work looking for candidates for the two board positions. Don Hansen moved and Herb Gansky seconded that the Nominating Committee report be accepted. Carried.

Special Committee Reports:

Sunscape Ambassadors Welcoming Committee - Ron Stockall reported that the Ambassadors are meeting all guests that are staying a week or more (including guests on private lots). Don Hansen moved and Herb Gansky seconded that the Sunscape Ambassadors Welcoming Committee report be accepted. Carried.

Activity Advisors - Gene Curry stated that the Poker Run has been postponed but bring in your donations for Toys for Tots to be picked up next week.

Old Business:

Posting of Job Descriptions - These will be posted on the bulletin board in the Fireplace Room of the Clubhouse. This is the only place job descriptions will be posted.

New Business:

Approval of the 2007 Proposed Budget - Mel Glaze moved and Gene Wallace seconded that the budget be approved. It was suggested that bylaws be amended to allow dues and assessments be paid in installments in future years.

Update report of progress on:
Clubhouse bathrooms - we are waiting for ceiling panels and doors for the handicapped bathroom. They have been backordered.
Maintenance Building - we finally got our permits last Friday and are starting the construction.
Welcome Center/Office Complex - we have some prices on the Welcome Center material. We would like to have permits before $8000.00 impact fee goes into effect. We would like to include plans in your annual packet. Material for just the shell of the building will be $11,000.

Volunteers - We really need lots and lots of volunteers. This will keep our dues down!

Park Party Coordinator - Gene said that the park party earns between $8,000.00 and $10,000.00. This is dues and assessment that you don't have to pay. We still need people to coordinate and run the party.

Sunscape policy for private rental lots - We need to keep out of the business of private rental lots. The Welcome Center registers all guests that are staying in our park but we do need written permission for a guest to occupy your lot.

Manager's Comments:

A big thank you to all the hard workers that built and manned our wonderful float. We put it in three Christmas parades and took prizes in all three. Remember, the Nutcracker honor guard will be raffled and the money they earn will go towards next year's float. Tickets are $1.00 each or 6 for $5.00.

Clubhouse is closed today for carpet cleaning.

Presidents Comments: We now own the old fire truck! Can we now sell it and be done with storing it?!

Adjournment: Don Hansen moved and Herb Gansky seconded that the meeting be adjourned. Carried. Meeting was adjourned at 10:55a.m.
