SUNSCAPE Activity Committee Meeting Minutes

The first meeting of the new year was held at the Clubhouse.  Chairperson Lynn Murphy called the meeting to order at 2:00p.m.

Discussions were held on:

 

  1. The Christmas Lights buses were not full this year.  Indian Skies had 45 people on one bus and we had 38 on the other.  Buses cost $1,275; the entry fee into the Arizona Celebration of Lights was $83.  Income was $1,640 with expenses being $1,358; net income $282. If JoAnn hadn’t opened the trip to another park there would have been a $47 loss.
  2. The Turf Paradise bus trip has been rescheduled to February 28th.  A minimum of 37 attendees is needed to break even (only 13 signed up for the original date of January 9th).  JoAnn will be advertising outside the park beginning Feb. 7th.
  3. It was decided to expand ticket sales hours.  In addition to the Thursday hours (11am-1pm) tickets will be sold before and after Town Hall meetings; and Mondays 4-6pm. Town Hall this month will be handled by Norah, Caroline, Lynn, Carrie and Dorothy. This Thursday will be covered by Judy, Dorothy and Gloria A.  Lynn, Judy, Dorothy and Gloria will cover the Board meeting on the 10th. Play tickets will be on sale along with other event tickets until the week of the play (performances are Feb.21 [matinee for dress rehearsal] 2:00; Feb. 22 and 23 [matinees]; Feb. 24 and 25, 7pm. Handicap seating is available.
  4. Kathy Bostrom has volunteered to help in the Activity Office on Monday mornings.  She will be away 1/23.
  5. Craft Show Food Sales on Jan. 14th from 10:30 – 12:30 (or until sold out).  Workers are as follows:

    More pop has been purchased, hot dogs, hamburgers, pickles have been restocked and the produce/perishables list has been made.  Relish needs to be added.

  7. Dorothy reported that further planning for the Mystery Dinner on Saturday January 28th is on hold due to slow ticket sales.  If 100 are not sold by Jan 14th the event may be cancelled or postponed.
  8. It was decided not to sell tickets at the Annual Meeting in February.
  9. A bus trip to Shamrock Farms has been scheduled for February 25th (a Saturday).
  10. Sandy and Heather reported plans are under way for the Prom on March 4th from 7-10pm.  The theme is “Spring Fling”.  Help is needed to decorate at 1:00 that day.
  11. A benefit for the Humane Society will be held on Feb 28th at 5pm in the Clubhouse.  It will be a Plate Taco Dinner.
  12. Judy reported there will be an Organizational Meeting for the Park Party at 1:00pm on January 10th in the Community Center.
  13. Judy also reported there is a new ceramic shop in the Promenade which may make an interesting trip or tour.
  14. A long discussion was held on the need for Activities to have a portable sound system.  This will be checked out for cost and advice on what type of system would suit our needs.
  15. The Secretary will revise our Roster.
  16. The next meeting will be January 19th.  The secretary will be away; a volunteer is needed to record minutes.
