Property and Planning Committee

Report to the Board of Directors, April 3,2008

1. Committee members have been established with Howard Caires, Chairman. Other members are: Ray Walker-Vice Chair, Kolleen Apger-Secretary, Sherry Walker- Data Entry, and members Les Fredrickson, Charlie Pennington, John Schmitz, and Lee Apger. Ad Hoc members will be recruited as specific needs arise.

2. Per the BOD’s request, a Charter has been submitted. The committee is also currently working to formalize necessary policies and procedures.

3. March projects:

A. Excessive water use was identified as being primarily due to an R/O system bypassing its filters, and a water-softener constantly charging. Both have been addressed and corrected. There is a third, smaller leak being investigated.

B. Annual inventory is almost complete, with the last areas finished yesterday or scheduled for the near future. Once data has been input, disc copies will be given to the BOD and Manager for insurance purposes. Members are requested to obtain a submittal form, available _____________

if an item is to be donated to Sunscape. Items which are not in good condition or cannot be used will be returned to the donor.

All members , groups, and committees are also requested to follow the budget process when submitting a request for expenditures not currently within the annual budget.

C. Exterior road: Information has been obtained regarding the adjacent landowners. The canal district responsible for the canal running N-S has been identified and contacted. Estimates for repair/ replacement/ maintenance cost for resurfacing will be obtained during the summer months, when various road contractors are available to come to the site and could potentially “piggy- back” our job onto another, larger project.

D. There have been 5 meetings of our committee since the Annual Meeting February 12^th. The majority of the time has been spent on the physical inventory, but we have been tackling other projects, as well as determining priorities for action this coming Fall, when we all return. There will be a committee member in Sunscape almost all summer, with others available by phone or computer at all times. We plan to work quite closely with the BOD, Finance Committee, Manager, and other committees and members to achieve the goals set by the BOD and membership.
